Approval Workflow

Note: The Approval Workflow process is an optional feature that must be enabled within your account. Speak to your Zeta team for more information on enabling this feature.

Distributed Marketing supports a manual review / approval workflow process for Mailings. Within your Distributed Marketing account, this feature can be enabled at either a Template level or at a Client Node level.

  • Template Level: If the Approval Workflow is enabled for a Template, all Mailings created with that Template must be reviewed by a designated approver (or multiple approvers) before the Mailing is submitted to Cheetah Digital by Zeta. See Configure Approval Workflow for a Template for more information.

  • Client Node Level: If the Approval Workflow is enabled for a Client Node, all Mailings created within that Client Node must be reviewed by a designated approver (or multiple approvers) before the Mailing is submitted to Cheetah Digital by Zeta. See View or Edit Client Node Settings for more information.

Generally speaking, the Approval Workflow process consists of the following steps:

  1. The marketer creates and submits the Mailing. At this point, the Mailing is not yet sent to Cheetah Digital by Zeta. Instead, it remains in a Awaiting Approval status in Distributed Marketing.

  2. If the marketer attempts to view a Mailing that's in Awaiting Approval status, they won't be able to edit the Mailing. The platform will only allow the marketer to either view the Mailing in a fixed "preview" mode, or to cancel the Approval Workflow process, which puts the Mailing back in Draft status.

  3. Distributed Marketing sends email notifications to all the designated approvers assigned to this Template or Client Node. This notification contains a preview of the Mailing content, and a link to the approval screen.

  4. The approver clicks the link in the notification to go to the approval screen. The approver enters any necessary comments or feedback, then either approves or rejects the Mailing.

    • Approved: If additional approvals are required, the Mailing will remain in Awaiting Approval status. If all of the necessary approvals have now been gathered, the platform will send the Mailing to Cheetah Digital by Zeta for deployment.

    • Rejected: The status of the Mailing changes to Rejected. The system sends an email notification to the marketer, who can then optionally revise the Mailing, and submit it to be approved again.
